Seeking advice on setting up a web-based digital asset management system

Coming from a very small group with limited resources, I’d appreciate concrete technical advice about setting up an archive-quality web-based digital asset management system. 

At the start of our project we wasted time with a council-funded project that was expensive, hard to use and not very functional. After experimenting with Picasa Web Albums, we have now settled on the open-source Gallery3 image management system. Gallery3 is easy to use, but its support for adding and searching metadata is not really good enough for a serious collection, and I don’t think it handles text documents or PDFs with a text layer. 

Commercial solutions such as Community Sites are probably beyond our budget. Open-source projects like Greenstone, dspace, EPrints or Fedora Commons look as if they might offer what we need, but are scary for beginners. Expert advice on how to choose and set up one of these solutions would be very welcome!
